Privacy policy: how a contact form message travels from your browser to our inbox

About this privacy policy

This privacy policy covers algokhaleej.com in English and Arabic, the contact form on the site, and the messages you send us on WhatsApp, Telegram or by email. It explains what we collect, why we collect it, who else receives it and what choices you have.

We keep this privacy policy short and specific. If something is unclear, ask us at support@algokhaleej.com.

Who we are

AlgoKhaleej is a trading software development service run by Ilyas Kazi, a freelance algorithmic trading developer based in India. We serve traders in the GCC remotely. In this privacy policy, “we” and “us” mean AlgoKhaleej and Ilyas Kazi, and “you” means anyone who visits the site or contacts us.

You can reach us by email at support@algokhaleej.com, on WhatsApp at +91 91066 42985 or on Telegram at @AlgoDevelop.

Data we collect

When you use the contact form

The contact form asks for:

  • your name,
  • your email address (optional),
  • your WhatsApp number,
  • your country,
  • the service you need,
  • your budget range in USD,
  • your message.

The short form on some pages asks for fewer of these fields. In addition, every form sends a few hidden fields that show us where an enquiry came from:

  • the page you sent the form from, and the page language,
  • UTM parameters (utm_source, utm_medium, utm_campaign, utm_term and utm_content), if the link you arrived on had them,
  • gclid (a Google Ads click ID) and fbclid (a Meta click ID), if you arrived from an ad.

The form also holds a hidden spam-trap field. Real visitors never see it, but automated spam tools often fill it in, and the form service then rejects their message.

How the site keeps ad parameters during your visit

When you arrive from an ad or a tagged link, the site reads the UTM parameters, gclid and fbclid from the address bar. It keeps them in your browser’s session storage until you close the tab. They stay in your browser and reach us only if you send the form or a WhatsApp message.

The site uses them in two ways. First, it copies them into the hidden form fields. Second, it adds a short reference line, such as “Ref: google-mt5-ea”, to the pre-filled text of our WhatsApp links. You can see and delete that line before you send the message.

When you message us directly

If you write to us on WhatsApp, Telegram or by email, we receive what you send: your name, phone number or username, email address, and the content of your messages and files. That often includes a description of your trading strategy, screenshots and settings.

For a trial build, you may give us a trading account number, so we can lock the build to that account. We store the number inside the build and in our project notes. We never need the password of any trading account, so please never send one.

Technical data

Like most websites, the server that hosts this site may log basic request data, such as your IP address, browser type, the page you asked for and the time. Our hosting provider uses these logs to run and protect the service.

The site also stores two small items in your browser: your cookie choice (in local storage) and the ad parameters above (in session storage, for the current visit only). Neither item holds your name or contact details. The site loads its fonts from its own server, not from a third-party font service.

Cookies, analytics and ad pixels

We may use three tools to measure how the site performs and which ads bring enquiries:

  • Google Analytics 4, which counts visits and page views,
  • Google Ads conversion tracking, which tells us when a visit from a Google ad leads to a WhatsApp click or a form message,
  • Meta Pixel, which does the same for ads on Facebook and Instagram.

None of these tools load until you agree. By default, the site sets Google Consent Mode v2 to “denied” for ad storage, ad user data, ad personalisation and analytics storage. When you click Accept on the cookie banner, the site switches these signals to “granted” and loads the tags. When you click Reject, the tags stay off. If none of the tools is active on the site, the banner does not appear at all, because there is nothing to consent to.

After you accept, the site sends two events in addition to normal page views:

  • whatsapp_click, when you tap a WhatsApp link,
  • form_submit, when the contact form sends successfully.

Each event carries the page, the page language, the service name and the utm_source and utm_campaign values. Google Analytics 4 records them as events, Google Ads counts them as conversions, and Meta Pixel records them as “Contact” and “Lead” events. We do not send your name, email, phone number or message to Google or Meta. However, these tools set their own cookies and collect device and usage data, such as your IP address and browser, under their own privacy terms.

If we ever send these events from our own server as well, for example through the Meta Conversions API, we will update this privacy policy first.

How to change your choice

You can change your choice at any time. Click Cookie settings in the footer of any page, then choose Accept or Reject. The site saves your choice in your browser. If you switch to Reject, the site sets the Google signals back to “denied” and revokes Meta Pixel consent straight away, and the tags no longer load on the pages you open after that. To remove cookies that the tools set earlier, clear the cookies for algokhaleej.com in your browser settings.

Who receives your data

We use a small number of service providers, and each one handles data only for the purpose below:

  • Web3Forms receives the contact form and delivers it to our email inbox.
  • Our email provider stores the emails we send and receive.
  • [HOSTING PROVIDER] hosts the website and keeps the server logs described above.
  • Google runs Google Analytics 4 and Google Ads, which load only after you accept.
  • Meta runs Meta Pixel, which also loads only after you accept. Meta runs WhatsApp too, so your WhatsApp chats with us follow WhatsApp’s own terms, which the WhatsApp Help Center explains.
  • Telegram carries the messages you send us on Telegram.

We do not sell your personal data, and we do not share your strategy with anyone. We share data only when the law requires it, for example to answer a valid request from a court or public authority, or when we must answer a payment dispute about your project.

Why we use your data

We use your data to:

  • reply to your enquiry and answer your questions,
  • write your spec and quote,
  • build, test, deliver and support your project, including account locks on trial builds,
  • send invoices and keep payment records,
  • measure which pages and ads bring enquiries, but only after you accept,
  • keep the site and our inbox safe from spam and abuse,
  • meet our legal and accounting duties.

Where the law asks for a legal basis, we rely on your consent for analytics and ads. For quotes, we rely on the steps you ask for before a contract, and for project work, on our contract with you. Finally, we rely on our legitimate interest in replying to messages and keeping the site secure.

How long we keep data

We keep enquiry messages, project files and payment records for [RETENTION PERIOD], unless the law requires us to keep them longer. After that, we delete them or make them anonymous. Analytics data follows the retention setting of our Google Analytics account, and the ad platforms keep data under their own policies.

Your cookie choice stays in your browser until you clear it. The ad parameters disappear when you close the browser tab.

Your rights

Depending on where you live, you may have the right to:

  • ask for a copy of the data we hold about you,
  • correct data that is wrong,
  • ask us to delete your data,
  • withdraw your consent for analytics and ads at any time,
  • object to some uses of your data, or ask us to limit them,
  • receive your data in a common format,
  • complain to the data protection authority in your country.

To use any of these rights, email support@algokhaleej.com. We may ask you to confirm your identity before we act on a request.

International transfers

We work from India, so your data reaches us in India. Our service providers may also process it in other countries, such as the United States or countries in the European Union. In those cases, we rely on the safeguards that each provider offers for international transfers.

Children

This site and our services are for adults. We do not knowingly collect data from anyone under 18. If you think a child sent us personal data, contact us and we will delete it.

Security

We protect your data with reasonable care. The site runs over HTTPS, and we limit access to your messages and files to the work on your project. We also sign an NDA on request. Still, no website or inbox is perfectly secure, so please send only what your project needs.

Changes to this privacy policy

We update this privacy policy when the site, our tools or the law change. The date at the top shows the latest version. If a change affects how we use data you already gave us, we will tell you by email or WhatsApp before it applies.
